At UC Irvine Office of Information Technology, we are dedicated to protecting the privacy and security of Data (defined below) collected from UCI faculty, staff, and students.
This Privacy Notice outlines our practices concerning the collection, use, and safeguarding of Data used with ZotGPT Chat. These practices also apply to our contracted vendors, ensuring that information is protected consistently across all services and interactions related to ZotGPT Chat.
Includes user-entered prompts, user identity, user-uploaded files, usage statistics, and ZotGPT Chat responses. This may include P3 or personal information entered by users.
Institutional information such as student records, UCI personnel records, IT security information, and export-controlled research. Do not use ZotGPT for PHI or other P4 information. For a full description, please refer to the Information Security Protection Levels page.
We collect and store Data for the sole benefit of our users, enabling a more personalized and useful experience on our platform.
We use cookies primarily for maintaining your login session on ZotGPT Chat. Cookies help us provide a seamless user experience by remembering your session without requiring repeated logins.
We collect login identity, login timestamps, and service utilization data to understand and report on aggregate service usage. We may also use this data to detect excessive usage and restrict access to avoid incurring costly service fees.
We will not share your identifiable data without your explicit consent, except as outlined below:
We may disclose your Data if required by law, including in response to court orders, subpoenas, public records requests, or other legal processes. We will only do so when we believe in good faith that disclosure is necessary.
We may provide Data to UC researchers studying artificial intelligence. We will not share any identifiable Data that would let the researchers know who you are. We will not ask you for additional permission to share this de-identified Data.
All research and other activities, which even in part involve human subjects research must be reviewed and approved by the UCI IRB or confirmed as exempt by the Office of Research (or designee) prior to initiation. Please review Human Research Protections Policy 02: Activities Subject to IRB Jurisdiction.
We may retain Data for 12 months unless the user intentionally deletes a chat. After 12 months, all chats and files are automatically deleted from our systems.
We implement a variety of security measures to safeguard Data, up to and including protection level 3 (P3). Measures include encryption of data in transit and at rest, use of UC Irvine’s secure Microsoft Azure and AWS tenants, application penetration testing, logging, and other measures. It is strongly recommended that Faculty and/ or Staff confirm with Campus Counsel before entering attorney-client privileged information.
We may update this Privacy Notice from time to time. A log of changes will be posted at the bottom of this page. You are advised to review this changelog periodically.
